Guidelines for Accepted Posters & Presentations

 For All Presentations and Posters:

Please email us a PDF of your presentation by April 20, 2018.  We will have all posters and presentations, with proper accreditation, presented on our website in an online viewing gallery for a short time after the event. Visitors to the website will be able to view your poster or presentation and post comments or questions. With your permission, we will continue to keep your poster or presentation viewable on our website after the initial viewing period.


Presenters will have access to wifi, a computer, and a projector for their presentations. Length should be thirty (30) to 45 (forty-five) minutes, depending on format. Please let us know if you have any questions or special requests.


For  In-Person Poster Presentations:

You will be provided with a 4 x6 board, an easel, and pins/tacks for affixing your poster to the board. Your poster may be anywhere between 36 x 48 inches to 48 x 72 inches. Please remember that posters are a visual medium and meant to be viewed from several feet away. Consider providing handouts, business cards, and a sign-up sheet for those who may want further information on your work. Some electrical outlets are available if you’d like to present your poster or related information on your laptop as well. Please let us know in the email that you send with your PDF if you will need an outlet.

The poster session will be one hour long. You will have 15 minutes prior to the session to set up, and 15 minutes after to take your poster down. We will post a map, specific directions to the event site, the poster room and the timeline here on the blog as the event nears.

For Distance Poster Presentations:

Distance posters will be displayed on computer monitors. You may submit a pdf of a standard poster format, or you may do a modified presentation in a powerpoint format with voiceover if you prefer.  We strongly suggest that distance presenters provide an accompanying handout that includes a brief bio and your contact information. We will print a small number of your handouts to accompany your computer station.

Of course you can mail us your full size poster if you prefer to present that way! Email us at to make special arrangements if you prefer to do that.
